Exams: Mass Result

Everytime a rank is entered, MasterVision would recalculate exam dates. This was a pain if you had already changed them. Fixed MasterVision to only calculate exam dates if the exam dates are blank. Added a button that recalculates exam date only if wanted.

When you OK the exam results, a new window opens asking you to pick a new class schedule for all students who passed the exam. All students who pass will be removed from all their current classes and enrolled in the classes you pick. If you cancel this form, class schedules are not changed.

Reports: Contract Status

New report in the Contract section that shows basic information for Active or Paid in Full contracts with a date in a date range.

Selector

New output option called “Appointment Book Add” which adds an appointment to the appointment for each of the selected students.

New output option called Class Picker. Allows you to change the classes a group of students are enrolled in. All selected students will be removed from all their current classes and enrolled in the classes you pick. If you cancel this form, class schedules are not changed.

Attendance

Now shows a count of the number of people attending.

Blank the Medical field when adding a new family member.

Student Status

By default, the Student Status report shows attendance for the last 6 months. You can now change this in Tools > Options, to be more or fewer months.

A new tool under Tools > Selector: Contacts that let’s you do create a contact report or mailing labels for contacts.

Letter Library

Addresses: Is a letter that puts multiple students on one page and shows their addresses.

Reports: Exam Summary

Was counting a No Show as a Retest. Uses the new setting in Tools > Options to report No Shows correctly.

New reports in the POS that show sales grouped by item or sales for just 1 item

New Exam tab. Has an entry where you tell MasterVision which grade you use to indicate a No Show on an exam.

Attendance

If a student attends class, remove any Missed Class or Retention entries that are in the appointment book.

Contracts

When making the contract official, you’ll get a warning if any student on the contract does not a pricing plan entered.

End of Day

Added a new option in Tools > Options, Student tab to “Remove Student From Classes/Groups when Expired”. If this is checked (it is NOT checked by default), the student will be removed from any classes they are enrolled in and groups they belong to; when they reach their expire date or when they are changed to status X for not attending class.

Exam: Mass Results

Changed to only show Active students

Was recorded passed as exams as failed and failed exams as passed. Fixed.

Report: Deposit Slip

Was showing payments from orders that had been voided. Fixed.

When creating a new student, set the inquire date to today.

Student: Lessons to Rank

Lessons to rank was being reset to 0 when a student failed or no showed for an exam. It should only reset to 0 when an exam is passed. Fixed.

Toolbar

Added buttons for Reporting (Printer) and Selector (S) to the toolbar

Verify Data

The verify data routine (Tools > System Tools, Verify Data) will delete any student that has a blank first and last name.

Calendar

I’ve added a Calendar to MasterVision. Anywhere that MV is asking you for a date, press F8 to open a calendar. Click the date your want, close the calendar, and that date is inserted for you.

Contracts

New option in Tools > Options, Contract tab for “Multiple Students on 1 Contract”. This is checked by default. If you’re using the default MasterVision contract, this is what you want. IF YOU”RE USING A CUSTOM CONTRACT YOU CREATED THAT EXPECTS 1 STUDENT PER CONTRACT, you need to turn this off.

Contracts: Add Student

If you added a student to a contract and that student was open, you might not get the correct name (it could be blank for example). Fixed.

Options

Tools, Options, General tab now has an option for “Show Area Code with Phone on Reports”. If this is checked, phone numbers are shown as “xxx-xxx-xxxx”. If it is not check, the area code is not shown (xxx-xxxx). This is OFF (no area code) by default.

Selector: Contacts

Added Contacts to the Selector. You can now find students with have a certain contact type.

Example 1: Let’s say you want to track Referrals. Aaron refers Ben. When you create Ben’s student record, create a Contact entry back to Aaron and set the Relation to “Referred By” (right-click the relation to add that one if you want). You could then use the selector to send an invitation to every referral you received by searching for all students who have a relation of “Referred By” and the date range.

Example 2: You want to send a thank you letter to all students who referred someone. On Aaron’s student form, add a contact to Ben and set the Relation to “Referred”. You can then run the selector to find all students with a contact relation of “Referred”.

Selector: Report

Made the phone number field wider to show more of it.

Student: Contact

When adding a student contact to a student, there is now a date you can set with it. This date defaults to today. Your existing contacts you have will have their date set to today as well.

Added a New button so you can easily add a student as a contact.

Student: Exams

On the student form, Student Tab, you can now double-click the Exam label to see a listing of all exams a student took. You can double-click one of those exams to open the exam, see the notes, make changes, or delete the exam.

Student: Word Merge

The last version broke the merge button for a single letter on the student form. Fixed.

Attendance

If student is not supposed to attend class for some reason, the computer “bell” is rung twice to warn you in addition to the error message. You can also change this sound in the Tools > Options.

Classes

If two classes were on the same date and time, some reports would lump them together. Fixed.

Inventory: Print Barcode Label

Added a print button that lets you printer either 1 barcode label for an inventory item or will print one label for each number you have on hand for the item. See Help file (Inventory) for more information.

Reports: Inventory, Barcode for all Items

Student: Add Family Member

The Add Family Member was assigning the PIN incorrectly. Fixed.

Select: Email (Outlook Merge)

Added a new output option to the selector called “Email (Outlook Merge)”. If you use Microsoft Outlook (or Outlook Express) you can use this option to directly send emails to a group of students and the email you send will merge in actual student data. See the Selector entry in the help file for more information.

Selector: Birthdays

Non-USA date formats could hang the computer. Fixed.

Contract Printing

Added new fields for contract printing:

StLName: Student First Name

StFName: Student Last Name

StzAge: Student Age

StzPhone: Student’s first phone number

StEmail: Student’s email address

BuyCSZ: The city, state and zip for the buyer.

Number of payments was showing 2 decimal places. Fixed to show none.

Inventory, POS

The Inventory form now has a field for “Group”. These are the groups a student can belong to. If you sell one of these items to a student in Point of Sale, then that group will be automatically added to the student.

What is this for? This could be used for any tournaments or special classes that you conduct. Let’s say you have a “Spring Tournament” that you sell tickets for. Create an inventory item for this and assign this item to a new Group called “Spring Tournament” (right-click the Group combo to create a new group). When you sell this item to a student, they will be automatically put in that group.

You can use the Selector to find students that are in this group. You could then use the Selector to see who is coming to the tournament, to create mailing labels for this people, email them an announcement about the tournament, or any of the other Selector output options. You can also use the Selector (using the new feature below) to find out who is NOT coming to the tournament.

Select: Classes and Groups

Added a new “Not In” option to both of these. Example: You could use the Selector to find everyone who is NOT in the Black Club.

Selector: Word Mail Merge

Added some new merge fields. Both of these new fields are on the SampleFields.doc in your merge\ folder.

StzClassN: Shows just the names of classes the student is enrolled in.

StzGroup: Shows the groups the student is in.

Temporarily Inactive students have their expire and renew dates increased when they start coming back to class. You can turn this behavior off in Tools > Options.

Tools: Options
The General tab has two new options:
Print Student Letter Immediately: Will immediately print a mail merge letter you create from the student form.

Print Contract Letter Immediately: Will immediately print a contract that you create from the contract form.

Word Mail Merge
Added student sex to the mail merge documents. The SampleFields.DOC in the merge folder has the name of the field. It also shows you how to do a he/she, him/her, etc.

Attendance
Attendance will warn if a student has an unpaid, due charge. You can turn off this warning in Tools > Attendance.

The name of the last student entered is now shown next to the PIN field.

Student names are shown as First + Last by default. You can change it to display names as Last, First in Tools > Options, Attendance tab.

End of Day
End of Day will now create Late Fees. Use the Tools > Options to setup the amount and grace period if you want to use Late Fees.

End of Day also creates an entry in the appointment book for the late fees.

Exam: Mass Results
Bug would keep some students from being processed. Fixed.

Student: Email
You can double-click the underlined Email label to send an email to a student directly. This only works if you have Microsoft Outlook or Outlook Express as your email client.

The "Item" field will now show you partial matches if an exact match is not found for what you want.

Collections
You can now find a charge by student PIN as well as by date.

Contract
If a down payment is created, it has the same date as the contract rather than today's date.

Tools > Option, Contract tab has an option for turning off the warning when contract date is not today when making contract official.

End of Day
There is a new option in Tools > Options, Appointment tab, that controls whether the "Missed Class" entries in the appointment book are deleted at the end of the day. By default they are deleted.

Added a Welcome and Getting Started to the Help menu

POS
There is an option in Tools > Options, POS tab, where you can turn off the "Print Receipt?" message. If turned off, no receipt is printed and you aren't asked about it. You can still manually print a receipt with the print button.

When you create a deferred, an entry is made with the current date and the outstanding payment amount automatically.

Selector: Picture Labels
The Print button would print all pages. Fixed to give a printer prompt where you can select printer, # of pages, etc.

Student There is now an option in Tools > Options, Student tab, for the default rank that is assigned when you create a new student. Currently, the student is given a blank rank.
